The Administrative Assistant will report to her/his direct supervisor, the CEO. The Administrative Assistant will provide essential administrative support, ensuring the efficient operation of the organization. This role includes managing daily office activities, coordinating schedules, maintaining records, and assisting with communication and outreach efforts. Additionally, this role involves representing the organization positively within the community to support its mission of providing shelter and services to the homeless.
Administrative Support:
● Answer and direct phone calls, emails, and other correspondence, providing information and support to clients, volunteers, and donors.
● Assist with basic bookkeeping tasks, such as processing invoices and donations, and preparing reports for the CEO.
● Assist the CEO with daily administrative tasks, including overseeing office supplies and inventory, ordering necessary materials, and ensuring the office environment is well-maintained.
Communication and Outreach:
● Assist in the preparation and distribution of newsletters, brochures, and other promotional materials.
● Update and manage the organization’s social media accounts and website, ensuring current and relevant information is available to the public.
Client Services:
● Welcome and assist guests, providing them with necessary information and directing them to appropriate services within RITI and the community.
● Maintain up-to-date client and volunteer records, ensuring accurate documentation of services provided and client interactions.
Qualifications:
● A high school diploma or equivalent is required; an associate’s or bachelor’s degree is preferred.
● Proven experience as an administrative assistant or in a similar role.
● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
● Experience with database management and basic bookkeeping preferred.
● Compassionate and empathetic attitude, with a commitment to serving individuals experiencing homelessness.
● Ability to handle sensitive information with discretion and maintain confidentiality.
● Strong interpersonal skills and the ability to work effectively with a diverse range of people.
Work Environment: The Administrative Assistant will work primarily from the Intake Center and interact regularly with staff, volunteers, clients, and community partners. Flexibility is available for a home office and all related expenditures as well as community events and meetings.
Salary and Benefits: Salary commensurate with experience and available funding, ranging $35-40k. Details are to be provided in the employee contract.
